The Passenger Travel Team comprises of the Travel Assessment Unit, and the Transport Team. The team is responsible for assessing travel options for school aged children with special educational needs and disabilities (SEND) and making travel/transport arrangements to schools within Kirklees and neighbouring districts. The team also support other services by arranging transport for students to college, and other provisions including adult day care, after school clubs and respite/short breaks arrangements.

The Passenger Travel Team is a very busy and demand led service, and the Business Support Officer role is vital as it is the first point of access to the service for customers and ensures delivery of office functions.

Within the Passenger Travel Team you will be the first port of call for the service, dealing with enquiries from parents, schools, drivers/operators and other council teams. It will require you to work flexibly in accordance with the needs of the service, which can mean travelling to other offices/buildings, though currently the role is home based. Equipment needed to undertake your duties will be provided, you will be required to access the Council’s systems.

You will assist the wider team in ensuring the office functions are delivered in a timely and accurate manner. Your tasks will support a broad range of areas including supporting children and their families, finance, data input, procurement and recruitment and staff management, as well as more traditional office functions.

 

Requirements for this job:

Duties will include:

Specialist IT administration

Arrange meetings, take minutes, and produce appropriate documentation

Support meetings and events

Data processing (input and retrieval) – including service-based IT systems

Information and records management as directed

Issue Approved Driver Badges in accordance with procedure

Responding to complex enquiries/complaints

Processing of purchase orders, invoices, direct debits, etc. Including dealing with and problem solving for complex invoices

General administrative duties

Project support, research, and collation of information

Order, maintain and issue supplies and services

 

It is essential that you have excellent communication skills, and that you are proficient in IT and are confident using a variety of computer packages in particular Microsoft Office, and that you are able to demonstrate business and administration skills to NVQ Level 3.

Due to the nature of the work undertaken in the Passenger Travel Team, work priorities can change on a daily basis, and it is therefore essential you are able to deal with a conflicting workload. For example, you may be in the middle of completing a task, and the team receives a call to advise a vehicle with children on board has broken down. When this happens, it is likely that everyone will need to be involved in dealing with this situation, as directed, until it is resolved.

We are looking for people with a ‘can do’ and flexible attitude.  You must be able to demonstrate a high level of attention to detail, along with excellent communication and organisational skills. Ideally you will have an inquisitive mind and experience in undertaking research and producing well written information.    It is essential that you possess excellent customer care skills and good IT skills and that you are familiar with a variety of computer packages in particular Microsoft Office, and that you are able to demonstrate business and administrative skills to NVQ Level 3.
